  PRINTING LABELS FOR TOP CLIENTS

VetlinkSQL does not allow the printing of labels for a number of top clients directly, but you can still generate labels for your top clients by first using the 'Top Clients' report.  The 'Top Clients' report will give you the sales or profit figures of your top clients for a given period.  These figures can in turn be used as a filter on the labels report.

For example:  You would like to generate labels for your top 20 clients for the last year.  The 'Top Clients' report shows that your top 20 clients are those that have spent more than $800 each in that  month.  You then use the 'Client Label' report to generate labels for those clients that have spent more than $800 for the last year.

Step One:  Produce a 'Top Clients' report to find the cut-off figures for the period you are interested in.

  1. Login with your staff id and password.
  2. Click the 'Reports' button on the toolbar.
  3. Select 'Reports/Lists' and click 'Next'.
  4. Select 'Client' reports.
  5. Click on the 'Top Client' report, and select 'Next'.
  6. In the filter screen ensure 'Cln Status' is set to 'Active'.
  7. Leave the 'Category 1/2' field set to 'Client Category 1'.
  8. Leave the 'Cln Category' field set to '*ALL*'.
  9. Ensure the fields from 'Mlr List 1' to 'Last Paid' are blank.
  10. In the 'Client Sales' field, select the way you would like to evaluate your top clients.  eg.  If you want your top clients by sales, select 'Sales_Tot'.  If you want your top clients by profit, select 'Profit_Tot'.
  11. Enter the number of top clients that you would like in the  'Top Clients' field.  eg. Entering '20' in this field will produce a 'Top 20 Clients' report.
  12. Select the period you would like to evaluate the top clients for.  eg.  To find the top clients for the last year, enter a date range of '01/01/2010' to '31/12/2010' in the 'Sales For' fields.
  13. Click the 'Next' button at the bottom of the window.
  14. Click the 'Print' or 'Preview' button to either print the report or preview it to screen.
  15. Now, note down the figure of the last client on the list.  The figure you select will be from the column you chose in the 'Client Sales' filter.  eg. If you selected 'Sales_Tot', find the figure for the last client on the list in the 'Sales_Tot' column. This is the figure we will transfer into the client labels report.

Step Two: Produce the client labels with the same date range and 'Sales For' settings.

  1. Click the 'Reports' button on the toolbar.
  2. Select 'Reports/Lists' and click 'Next'.
  3. Select 'Client' reports.
  4. Click on the 'Client Address Labels' report, and select 'Next'.
  5. In the filter screen ensure the filter settings are the same as they were in the 'Top Clients' report.
  6. In the 'Client Sales' field, select the way you evaluated your top clients.  eg.  If you evaluated your top clients by sales, select 'Sales_Tot'.  If you evaluated your top clients by profit, select 'Profit_Tot'.
  7. In the '>=' field, enter the lowest figure from the 'Top Clients' report.
  8. In the '<=' field, enter a figure substantially greater than your best client.  eg '10000000'.  (This just needs to be big enough to ensure your top client is included in the results list).
  9. Select the period you evaluated the top clients for.  eg.  For the last year, enter a date range of '01/01/2010' to '31/12/2010' in the 'Bill Date' fields.
  10. Click the 'Next' button at the bottom of the window.
  11. Click the 'Print' button to print the labels.

Hope all that was useful! Until next time..... Happy Computing!
