VETLINKSQL allows users to directly order online with selected suppliers. Before finishing an order, and if the wholesaler supports it, you can check their databases and see the expected price of the items, the availability, pack size and informs you of any discrepancies between your stock description and your supplier’s stock description. The order is then sent directly to the supplier’s warehouse saving time and reducing errors.

Electronic Invoice Receipting
VETLINKSQL is now capable of receiving, matching, and importing electronic invoices from selected Wholesalers automatically. Importing invoices can be done in three ways. Firstly it can be automated whereby a check, download and match to an Order is performed at regular intervals. Secondly, starting a new invoice without a Purchase Order will let users manually poll/check for any pending invoice available. Finally, a check, download, and match is done as soon as a Purchase Order is converted to an Invoice in VETLINKSQL as the goods arrive. Full line item back-order management is supported.
Invoice importation and matching is highly sophisticated so that the user interface is simple. All items arriving in on the screen are checked for any change in price and quantity. Colour coding is used to highlight any changes from either the original Order or from current Product data such as expected cost. A special button allows all matching items to be hidden temporarily, and only the ones with changes are visible. This makes goods receipting on large invoices a lot easier for the end user. Decision logic on price updates can follow through from each product with individual pre-set tolerance margins but still retaining the ability to override.

Laboratory Results External
VETLINKSQL supports automatic and unattended importation of laboratory result data from samples sent off to external pathology laboratories. The basic process requires a reference ID to be printed from VETLINKSQL and sent with the sample. The laboratory will perform the analysis and email the results in a special format to a unique email address at the clinic. These results are transferred to a special folder by the in-clinic email server, which VETLINKSQL is routinely checking. The results are then automatically imported into VETLINKSQL and attached to the appropriate clinical record. They are also added to an endorsement list where Vets can check and acknowledge viewing. Once they have verified the result they can endorse and clear it from the list. A flashing test tube icon at the top of the main VETLINKSQL screen will also notify all users that a new lab result has arrived. To avoid missed charges, you may also assign products or services to automatically print the label when a lab test is billed.

Idexx Lab Station
VETLINKSQL fully integrates to the IDEXX VetLab Station via a network connection and supports full two-way Requisition based integration. Requisitions are sent automatically via the billing process to avoid any missed charges, and then result data is automatically imported as real data values (not text). This means that VETLINKSQL can in fact analyse this data and highlight out of range values in colour. The stored data will then also be able to be used in the marketing module to identify patients where high levels of care and regular re-testing as well as new treatments can be offered. The results are imported into VETLINKSQL and attached to the appropriate clinical record. They are also added to an endorsement list where Vets can check and acknowledge viewing. Once they have verified the result they can endorse and clear it from the list. A flashing test tube icon at the top of the main VETLINKSQL screen will also notify all users that a new lab result has arrived.
Vetscan by Abaxis
VETLINKSQL can import data from Vetscan machines via a machine polling process, or via polling a folder that the device places its results into. The process works in much the same way as the emailed lab results where a reference ID is generated and entered into the machine. Once the tests have been completed the results are sent back to VETLINKSQL and imported into the appropriate patient file. The endorsement function notifies vets when new results arrive and Vets can verify all the results.
Third Party Data Facilitation
VETLINKSQL supports integration to InfoVet to accommodate Large Animal Practices that deal with dairy clients. This integration allows data taken from VETLINKSQL to be exported to the InfoVet software eliminating the need to manually record individual details on aspects of dairy practices, from individual cow medicine through to herd health monitoring and investigations. VETLINKSQL supports the use of the Farmlands Card. Once a bill is charged to this special payment method, electronic transactional information / invoice is sent automatically to the Farmlands computer systems for inclusion in their statements to their clients. A clinic needs to take an innovative approach in order to develop long term strategies that will see significant benefits in time, especially in the areas of internal efficiencies and excellence in client satisfaction. One aim should be to reduce the number of non-revenue generating phone calls to the clinic, while still being able to maintain very high levels of service. This can be achieved, amongst other things, by implementing a strategy of client engagement via an integrated web site.
